Field Mode
Field Mode is the admin assistant's phone interface. Its launcher appears on supported small, touch-oriented screens while you are signed in to the admin workspace. It is not the customer support widget or an offline quoting app.
Open it to work in two tabs: Chat for conversation and actions, and Quote for drafting and reviewing a quote. Switching between the tabs keeps the current mounted form and item view in place.
Speak or type a request
In Chat, use a shortcut such as Start work, Stop work, Log expense, Add event, or Client update, or describe what you need.
The microphone puts dictated words into an editable input. Review names, measurements, numbers, and dates before submitting; dictation does not submit automatically. Microphone and network/provider access must be available.
The assistant uses your current organization and permissions. Some routine actions can apply directly. Where an action requires approval, the Confirm and Cancel controls appear in Chat. Read the full preview before confirming a client-visible message or financial action.
Create a quote
Open Quote and expand the drafting controls. Enter Job notes by typing or dictation, then choose:
| Mode | What to expect |
|---|---|
| Quick estimate | A faster initial draft that skips the extra physical-material completeness pass; prices and scope may still need review |
| Thorough quote | The full shared workflow, including material completeness where relevant; it may take several minutes |
Include the work being sold, client/project, quantities or estimated hours, location if relevant, currency, agreed prices, exclusions, recurring services, and who pays each outside provider.
This supports IT, freelance, professional-service, general-service, and physical-work quotes. The business's industry guides context; clearly stated work outside that default should be described explicitly.
Tap Create temporary draft. This requests an AI draft—not a customer quote, email, invoice, or payment. Usage charges may apply. If drafting is busy, wait and retry rather than submitting several copies.
Review the itemized result
When the draft is ready, review it in the Quote tab before opening the PDF:
- The header shows the quote title, currency, and Required one-time total.
- Item rows show descriptions, quantity × unit price, line total, and applicable optional/recurring/provider labels.
- Details to confirm opens questions and assumptions separately from the item list.
- Preview PDF opens the PDF for the same temporary draft.
- Scrolling the items condenses the header to make room. Tap the compact header to show its total and actions again.
A zero-price line needs attention: confirm whether it is included or still unpriced. A supplier source or a priced draft does not establish checkout availability, a local delivered price, or a complete scope.
Recurring and pass-through costs
Required one-time work, optional items, recurring services sold by your business, and costs the client pays directly to providers are shown separately.
Check both the amount and cadence—monthly and annual amounts are not interchangeable. A provider-direct line is a disclosure of what the client pays elsewhere, not an amount your business collects in the one-time quote or deposit. If your business is reselling the service, describe it that way instead of marking it provider-direct.
Refine, save, and send separately
Use Chat to ask for changes to the active draft, then recheck the item view and PDF. Save as quote hands the reviewed draft back to the assistant's create-quote workflow; provide any missing client or billing details and review any requested confirmation.
Viewing or recovering a draft does not save or send it. Sending a saved quote requires its own explicit action and approval. The client's later acceptance follows the quote's saved billing rules—it is not triggered by previewing the PDF.
Recover an interrupted draft
Open the drafting controls and use Recent drafts (24 hours), then Refresh. Temporary notes and drafts are stored encrypted for recovery for up to 24 hours, scoped to the account and organization that created them.
A completed draft can be reopened. A failed or interrupted job offers Retry retained notes, which restarts drafting; the new result can differ from the earlier attempt. Opening the recovery list itself does not restart a job or send anything.
After expiry, start a new draft. Temporary recovery is not a permanent quote archive. The Field Chat conversation is memory-only; do not assume a page reload preserves its thread or an unsubmitted note.
Model choices are managed under AI Models & Chat. The quote-drafting override takes priority over the admin model.
