The welcome tour and setup checklist

The welcome tour introduces the workspace. The getting-started checklist links to the actual settings and work that need attention. Finishing or hiding either guide does not send a quote, create an invoice, collect a payment, or give SMS consent.

Reopen either guide

Use the ? Help button in the admin or client portal:

  • Replay walkthrough starts the tour again.
  • Show getting-started checklist restores the checklist, including when its recommended steps are complete.
  • Browse help guides opens the Help Center.

These actions work from other pages in the signed-in workspace too: the app returns to the corresponding admin or client dashboard and opens the requested guide.

In the tour, use Back, Next, or the arrow keys to move between slides. Skip tour, closing the tour, and Get started save your tour preference. A slide's action button opens its related page; Read this guide opens its help article.

Use Hide for now to dismiss the checklist without changing any setup status. Tour and checklist preferences are separate and belong to the signed-in person in that workspace; one teammate hiding a guide does not hide it for everyone. If saving fails, the guide displays an error instead of silently claiming success. The tour also offers Retry saving and Close for now; closing without saving can mean it appears again later.

Admin: recommended setup

The admin checklist currently has five recommended steps. The progress bar counts these steps, not the optional tools below.

Add your first clientAn active client workspace exists. Archived, deleted, and one-off Quick Bill contacts do not count.
Create your first quoteA quote is saved, including a draft. An agreement or change order is not counted as a quote.

Recommended setup complete means those records or reviews are present. It is not a live test of Stripe, an AI model, email delivery, or the correctness of a quote. Review payment readiness on Stripe Connect, and check the recipient, prices, recurring charges, and billing mode before sending work to a client.

Reviewing invoice defaults

Open Invoice Defaults and review the due dates, payment methods, reminders, tax, and late fees. Save any changes, then return to the checklist and choose I've reviewed these settings.

This owner-only action records who reviewed the settings, when, and a fingerprint of the saved configuration. It does not create or send an invoice. Changing a tracked default afterward makes the step need review again. Sending an invoice is neither required nor a substitute for this review.

Permissions still apply

Steps that require ownership are labeled Account owner handles this step for other teammates. This includes the invoice-defaults acknowledgment and owner-managed Stripe, branding, AI, and MCP settings. Admins can handle their permitted operational work, such as adding clients and creating quotes.

Read-only teammates can explore the linked pages and control their own help preferences, but the checklist does not grant permission to change business settings. Admin Preview is not the client's signed-in account and cannot complete the client's setup or consent on their behalf.

Admin: choose optional tools

The six optional steps do not prevent recommended setup from reaching completion.

Save reusable pricingAn active catalog rate, quote line item, or service plan exists. Review its suitability for each job.
Save your business nameA name is saved, normally during signup. It does not mean a custom logo or accent has been added.
Save your signatureA signature file is saved for your account in this workspace. Another person's signature or initials alone do not complete your step.
Save an AI connectionCredentials are saved for the selected provider; self-hosted AI also needs its gateway URL. Test the selected model separately. Customer chat is enabled separately.
Enable external assistant accessThe MCP switch is enabled. An external assistant still needs an authorized API key and appropriate permissions; the switch does not test that connection.
Connect a client to their portalA client account or an active portal member is linked. An attempted invitation alone does not complete this step.

You can quote manually without AI, leave MCP off, and use the default branding. A saved signature is a convenience, not authorization to sign every future document. When adding a client, choose whether to email the portal invitation now or send it later from that client's actions.

Client: profile setup comes first

A client who still needs to complete their profile sees Complete Your Portal Profile before the regular portal dashboard. First name, last name, and phone are required. The primary contact also sees optional company/text-notification controls and password setup when required. The linked portal email is not changed by this form.

If a teammate arrives before the shared client profile is complete, they save only their own name and phone. Their completion opens their portal without replacing the primary contact's identity, company, text consent, or password/setup state. The primary contact must still finish the shared profile. Already-completed client accounts retain their existing access behavior; adding this safeguard does not force every existing teammate to repeat onboarding.

Choose Save profile and open portal after checking the details. This completes contact setup—not quote acceptance, document signing, or payment authorization. No active project is required to finish the profile.

A phone number alone, general Terms acceptance, or completing the tour is not an SMS opt-in. The separate text-message checkbox is optional. An existing current opt-in for the same number does not need to be repeated; changing the number needs a new opt-in, and a checkbox does not override a STOP request. Client: your next steps

On the active client dashboard, the checklist distinguishes:

  • Review quotes and agreements: documents still awaiting the client's action. Expired documents and documents waiting for the business to countersign are not presented as needing the client's signature. DocuSign requests use the link in the client's email.
  • Review open invoices: recorded open invoices with a remaining balance. Signing a quote is not payment, and payment updates can take time to appear.
  • Save a reusable signature: an optional shortcut for this person's own signature. Each document still requires explicit review and approval.

You're caught up for now means no tracked document or invoice currently needs attention. New work can make those steps appear again. It does not accept future quotes, settle unrecorded balances, or turn on optional services.

Client help preferences are personal within that client workspace. Admin Preview and non-active portal access do not show the active client's walkthrough or write their checklist preferences.

If you belong to more than one client account, use Choose your workspace or Switch client workspace in the portal navigation. Separate accounts hosted by the same service business are separate choices too.
