Built for IT consultants and small MSPs

Run the business side of your IT practice from one portal.

Scope the project, get the agreement signed, collect the deposit, and bill the monthly care plan on autopilot. Your clients get one branded portal instead of five different emails.

In short

The Contractor Codex handles the quote-to-cash side of consulting: proposals with accept links, e-signed agreements, deposits collected at acceptance, and retainers that bill monthly on their own. Costs your client pays other companies, like hosting and licenses, show as estimates so they never look like your charges. An AI assistant reads your numbers and drafts your follow-ups, and anything that emails a client or moves money waits for your approval first.

Built on rails you already trust

We run your money. We never hold it.

  • Card details never touch our serversEvery payment is taken on Stripe's own secure pages. We never see, store, or handle a card number.
  • Bank logins never touch our serversBank connections run through Plaid. You sign in with your bank, and we only ever receive read access to transactions.
  • Your money goes straight to your bankClient payments land in your account directly. We never hold your money, and we never sit between you and it.

An assistant that already knows your numbers

Ask in plain words. It reads your live data, breaks the answer down, and offers the next step. Anything that emails a client or moves money shows you an approval card first, and sends nothing until you say yes.

You: Who owes me money?

Clients owe $23,400 in total. $6,800 of that is past due:

Meridian Dental's server migration invoice is 21 days late.

The rest is current: Hartwell CPA ($9,200, due Aug 12) and two care plans billing on the 1st.

Care plans and project work, on the same quote

IT work is a project followed by a relationship. The portal bills both without you touching Stripe: the project collects a deposit when the client accepts, and the care plan starts billing monthly from that same acceptance.

  • Monthly care plans: first month collects at acceptance, then every month on its own
  • Included hours and overage billing follow your rate rules
  • Hosting, licenses, and domains show as provider costs the client pays directly, never mistaken for your charges
  • Deposit up front, balance on completion, or progress payments for phased rollouts. You pick per quote

Your price list, already started

Your quote library starts loaded with IT line items you can price once and reuse on every proposal:

FAQ for IT consultants

Can I bill a monthly care plan or MSP retainer?

Yes. Add the care plan to a quote and the first month is collected the moment the client accepts, on the same invoice as any project deposit. After that it bills automatically every month. Included hours and overage rates follow the rules you set.

How do I handle costs like hosting, licenses, or domains?

List them on the quote as provider costs. They show as estimates the client pays those companies directly, so your proposal covers the whole picture without you collecting money that is not yours.

Can clients sign my service agreement electronically?

Yes. Use the built-in signing flow on any device with a full audit trail, or connect your Docusign account and route agreements through it. Signed documents and statuses flow back into the portal automatically.

What does the AI assistant actually do?

It reads your live data and answers questions like who owes you money, what is landing in the next two weeks, and what a project actually earned. It can draft quotes from a plain-language description and send payment reminders. Anything that emails a client or moves money shows you an approval card first and sends nothing until you say yes.

What does it cost?

Standard is $15/month plus a 0.8% service fee on payments. Pro is $35/month with just a 0.1% fee, which wins once you bill more than about $2,900/month. Every plan starts with a 30-day free trial and includes unlimited clients and projects.
